    Logistics Coordinator 

    Reports into respective Ki-Nitro Project Manager(s) and/or Ki-Nitro Management  

    Job Summary:
    We are seeking a skilled and detail-oriented Event Logistics Coordinator to oversee all aspects of ground transportation and/or staffing for our events. The ideal candidate will manage a fleet of vehicles, coordinate with drivers, and ensure seamless arrivals and departures for clients and guests. This role also includes managing hosts and hostesses to provide a premium experience for all attendees. 

    Key Responsibilities

    Ground Transportation Coordination:

    • Plan and execute all ground transportation logistics for events, including managing schedules, routes, and contingencies. 

    • Oversee a fleet of vehicles, ensuring they are appropriately maintained, equipped, and staffed. 

    • Assign and manage drivers, ensuring punctuality, professionalism, and compliance with company standards. 

    Arrivals and Departures Management:

    • Coordinate guest airport / train stations arrival and departure logistics, ensuring smooth transitions to and from event venues. 

    • Develop detailed transportation schedules and communicate them effectively to drivers, hosts, and other stakeholders. 

    Staff Management:

    • Train, and manage hosts, hostesses, and transportation staff to provide high-quality service during events, if required. 

    • Assign roles and responsibilities, ensuring alignment with event needs. 

    • Monitor staff performance and provide on-the-spot problem-solving during events. 

    Vendor and Stakeholder Liaison:

    • Collaborate with external vendors and suppliers to secure vehicles, equipment, and additional resources. 

    • Serve as the primary contact for transportation-related issues, addressing client or stakeholder concerns promptly. 

    Budget and Compliance:

    • Manage fleet within the approved transportation budget, ensuring cost-effective solutions without compromising quality. 

    • Ensure compliance with local laws, regulations, and safety standards related to transportation and staffing. 

    On-Site Execution:

    • Oversee on-site ground transportation and staffing operations during events to ensure everything runs smoothly. 

    • Troubleshoot and resolve any logistical issues that arise during the event. 

    Qualifications 

    Experience: 

    • 3-5 years of experience in event logistics, transportation management, or a similar field. 

    • Proven track record of managing large-scale transportation logistics for events. 

    • Skills: 

    • Strong organizational and time-management skills. 

    • Exceptional leadership and team management abilities. 

    • Excellent communication and interpersonal skills. 

    • Problem-solving mindset with the ability to adapt under pressure. 

      Technical Knowledge: 

    • Familiarity with fleet management software and scheduling tools. 

    • Knowledge of local transportation regulations and safety standards. 

     Preferred: 

    • Experience working with luxury or high-profile events. 

    • Knowledge of Italian and English language skills. 

  • Position: Business Development Manager | Part Time Contractor Position

    Director of Partnership / Sales   

    Reports to Managing Director  

     

    Responsibilities include (but not limited to):  

     

    The Director of Partnerships will lead the agency’s global sales and partnership strategies, focusing on business development, client acquisition, and long-term relationship management. This role requires an innovative, results-oriented leader who thrives in a fast-paced environment, with a proven track record in both sales and partnership development, ideally within the event management or experiential marketing industries. Part – time to start, full-time opportunity based on strategic growth strategy. 

     

    The Consultant’s key responsibilities are as follows: 

    1. Sales Strategy and Revenue Growth 

    • Develop and execute a comprehensive global sales strategy to meet revenue goals, secure new clients, and expand the agency’s footprint in target markets. 

    • Identify and pursue high-value opportunities with potential clients, leveraging industry insights to meet and exceed revenue targets. 

    • Build and manage a robust sales pipeline, maintaining accurate forecasting and reporting to senior leadership. 

     

    1. Partnership Development and Management 

    • Identify, establish, and nurture strategic partnerships with relevant brands, sponsors, and collaborators to create impactful events and brand experiences. 

    • Act as the primary liaison with key partners, fostering long-term relationships that align with the agency’s goals and add value to the client experience. 

    • Collaborate with marketing and creative teams to develop tailored partnership proposals, ensuring alignment on objectives and KPIs. 

    • Support with negotiating contracts, pricing and terms or service.  

     

    1. Client Relationship Management 

    • Cultivate strong, trusting relationships with existing clients, understanding their evolving needs and ensuring high levels of satisfaction. 

    • Actively gather client feedback, staying informed on industry trends and client expectations to proactively recommend improvements or new offerings. 

    • Serve as a trusted advisor to clients, providing strategic guidance on maximizing the value of their event experiences. 

     

    1. Market Insights and Trend Analysis 

    • Conduct ongoing research on industry trends, competitor activity, and market dynamics to identify new opportunities and refine sales and partnership strategies. 

    • Leverage data and insights to tailor pitches, align offerings with market demands, and position the agency as a leader in the global event industry. 

     

    1. Team Leadership and Cross-Functional Collaboration 

    • Collaborate with Marcomms Leadership to develop and refine “pitch” and presentation assets  

    • Lead and mentor a cross functional team, establishing clear goals, providing ongoing coaching, and driving professional growth. 

    • Collaborate closely with the agency’s operations teams to ensure seamless execution of projects, from pitch to event delivery. 

    • Champion a culture of innovation, integrity, and teamwork within the sales and partnerships functions. 

     

    1. Event Integration: 

    • Collaborate with internal teams to parlay expectations “sold in” via the brief (e.g., catering, operations) to ensure seamless event execution. 

    • Provide detailed event briefs to operations teams, highlighting client needs and expectations. 

    • Oversee events to ensure client satisfaction and resolve any issues promptly. 

     

    1. Reporting & Analysis: 

    • Prepare sales reports, forecasts, and budgets. 

    • Analyze market trends and competitor activity to identify new opportunities. 

    • Track event success and gather client feedback for continuous improvement.

    The Experiential Event Manager plays a pivotal role in orchestrating memorable and impactful events that engage participants on a deep level. This position requires a blend of creativity, strategic thinking, project management skills, and a keen eye for detail. The Experiential Event Manager is responsible for conceptualizing, planning, executing, and evaluating experiential events that align with the organization's objectives and resonate with the target audience.

    The Experiential Event Manager plays a critical role in shaping the brand image, fostering customer loyalty, and driving business results through immersive and unforgettable event experiences.

    KEY RESPONSIBILITIES

    1. Event Strategy and Planning:

    • Develop comprehensive event strategies that align with the organization's goals and objectives.

    • Collaborate with stakeholders to define event objectives, target audience, and key messaging.

    • Conduct thorough research to understand industry trends, competitor events, and audience preferences.

    • Create detailed event plans, including timelines, budgets, and resource requirements.


    2. Creative Concept Development:

    • Generate innovative and immersive event concepts that deliver unique experiences.

    • Brainstorm creative ideas for event themes, activities, and interactive elements.

    • Work closely with design teams to develop visual identities, branding materials, and immersive environments.


    3. Vendor and Partner Management:

    • Identify and negotiate contracts with vendors, suppliers, and partners.

    • Coordinate logistics for venue selection, catering, audiovisual equipment, and other event-related services.

    • Build and maintain strong relationships with vendors and partners to ensure seamless execution of events.


    4. Project Coordination and Execution:

    • Oversee all aspects of event execution, including setup, registration, programming, and teardown.

    • Manage event staff, volunteers, and third-party contractors to ensure tasks are completed efficiently.

    • Monitor event progress and address any issues or challenges that arise in real-time.

    • Ensure compliance with all relevant regulations, permits, and safety standards.


    5. Participant Engagement and Experience:

    • Develop strategies to enhance participant engagement and interaction throughout the event.

    • Curate engaging content, activities, and entertainment to captivate attendees.

    • Implement feedback mechanisms to gather insights and measure attendee satisfaction.


    6. Post-Event Evaluation and Reporting:

    • Conduct post-event evaluations to assess the success of each event against predefined metrics.

    • Analyze feedback from participants, sponsors, and stakeholders to identify areas for improvement.

    • Prepare comprehensive event reports and presentations for management review.

    QUALIFICATIONS:

    • Bachelor's degree in Marketing, Event Management, Communications, or related field. Or the equivalent of education & experience in a related field.

    • Proven experience in event planning and management, with a focus on experiential and employee engagement events.

    • Strong project management skills, with the ability to multitask and prioritize competing demands.

    • Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.

    • Creative thinking and problem-solving abilities, with a passion for delivering exceptional experiences.

    • Proficiency in event management software, project management tools, and Microsoft Office suite.

    • Flexibility to work evenings, weekends, and travel as required.

    • Fluent in English (if not the primary language in the country).
